Why RacerBase
From spreadsheet chaos to results the same day
Most club races are run by volunteers with an entry export, a stack of paper and a long evening ahead. RacerBase takes the admin out of race day.
Without RacerBase
Entrants type phone numbers into the race number field, or use someone else's number.
Duplicate bookings and misspelled names slip through to race day.
Handwritten finish sheets are retyped into a spreadsheet late at night.
Age categories, handicaps and series points are worked out by hand, and mistakes get emailed in.
With RacerBase
Upload the entry export. Every row is matched to a racer by number and name, and problems are flagged before race day.
Duplicates, wrong numbers and suspicious ages are caught automatically.
Record finishes at the line, or photograph the finish sheet and check what RacerBase reads.
Positions, categories, adjustments and standings calculate instantly and publish to a public results page.
Features
Everything between entries closing and results going live
RacerBase doesn't sell tickets or take entry fees. It picks up where your ticketing platform stops and handles the racing.
Entry import from any platform
Upload the CSV or Excel export from the ticketing site you already use. Map the columns once and reuse the template for every event.
Matches by racer number, then by name
Flags duplicates and age mismatches
Spots phone numbers in the number field
Racer numbers that stay put
Give racers a permanent number they keep all season and beyond, or allocate fresh bib numbers for each event. Retired numbers can be recycled automatically.
Race-day timing
Built for hand timing. Capture finish order and times at the line on a phone or laptop. No timing chips or mats needed.
Photo-to-results finish sheets
Still using paper? Photograph the finish sheet. RacerBase reads the racer numbers and times, highlights anything uncertain, and you confirm before anything is published.
Results, categories and series standings
Overall, gender, age-category and category-by-gender positions are calculated automatically. Add time adjustments or handicaps, choose a points system and run a season-long series leaderboard.
Your own public results site
Results, standings and racer profiles on a fast, mobile-friendly page with your club's name, logo and colours. Share one link and racers can look up their own times.
How it works
Three steps from entries to results
Set up your organisation
Add your club or event, your series and races, age categories and points system. Call your competitors racers, swimmers, runners or paddlers.
Import your entries
When entries close, upload the export from your ticketing platform. Review the flagged rows, confirm, and print your start lists and number sheets.
Time it and publish
Record finishes on the day or photograph the finish sheet. Check the times, press publish, and results and standings go live for everyone.
Who it's for
Made for clubs and organisers, not timing companies
Clubs running a league or series
Monthly swims, weekly time trials, summer race series. Keep racers on the same number all season and let the standings update themselves after every event.
One-off event organisers
Fun runs, charity swims, paddle races and school events. Import entries, allocate numbers, time the finish and share results the same day.
Volunteer results teams
No technical skills needed. Clear checks catch mistakes before they're published, so the results team gets to go home on time.
Built at the water's edge
Proven every month at a real race series
RacerBase began as the results system for a monthly open-water swim league, handling hundreds of entries per event, handwritten finish sheets and a season-long points race. Now we're opening it up to clubs and event organisers in every timed sport.
240+entries matched per event
~93%entries matched automatically by number
4result rankings per race: overall, gender, category, both
0timing chips needed
FAQ
Questions organisers ask
What is RacerBase?
RacerBase is online software for clubs, leagues and event organisers to manage racer numbers, import entries, record finish times and publish results and series standings. It works for any sport where a competitor wears a number and is timed.
Which sports does RacerBase support?
Any timed sport with numbered competitors: open-water and pool swimming, road and trail running, parkrun-style time trials, paddling, SUP, kayaking, cycling, triathlon and multisport. You can call your competitors swimmers, runners or paddlers instead of racers.
Does RacerBase take entry fees or replace my ticketing platform?
No. Keep selling entries on the ticketing platform you already use. After entries close, upload its export file to RacerBase and it matches every entry to a racer and number.
Can racers keep the same number all season?
Yes. Each organisation chooses permanent numbers, which a racer keeps for every event and which can be recycled later, or fresh numbers for each event.
Do I need timing chips?
No. RacerBase is built for clubs and events that time by hand. Record finishes at the line, or photograph a paper finish sheet and let RacerBase read the numbers and times for you to check.
How much does RacerBase cost?
Pricing will be announced before launch. Join the early-access list and you will hear first.
